Introduction
Signitico OÜ is the data controller. We respect your privacy and are committed to protecting your personal data. This policy explains what data we collect, why we collect it and how we protect it when providing document signing and management services.
Data we collect
We collect only data needed for the Service: identification data (first and last name, personal identification number or another identifier for identity verification); contact information (email address and telephone number); technical data (IP address, device information and access times for audit logs); and uploaded documents and their metadata, such as signing time and signatory identifier.
Purposes and legal bases
We process data to perform our contract by providing document signing and management services; to meet legal obligations concerning evidence of the legal validity of electronic signatures under eIDAS; and for our legitimate interests in securing the Platform and preventing fraud.
Retention and security
We retain data for as long as necessary to provide the Service or comply with statutory retention periods, including document archiving requirements. We use appropriate technical and organisational safeguards, including encryption and access controls, to protect data against unauthorised access or disclosure.
Sharing data
We share data with third parties only where necessary to provide the Service, for example with cloud providers, or where required by law. When you send a document to another participant, that participant gains access to the document and its associated metadata.
Your rights
Under the GDPR, you may request access to your data, correction or deletion where this does not conflict with legal retention duties, object to processing or request its restriction, and lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon).
Audit logs
For service security, we keep an audit log of actions involving documents, including uploads, viewing and signing. These records serve as evidence of document activity and are accessible only to the parties involved.
